Events Administrator

Job Overview

This role is intended as a stepping stone into the world of events, it should provide a varied insight into venue based events and is an ideal opportunity for someone with a vision to progress over time to an events planner.

The Role itself is to support the events team in general administration and to look after the needs of internal clients.

Some responsibilities include: (see full role profile for full list) 

Internal Events Organisation

  • To provide guidance to internal bookers on use of the Venue Management System (VMS), including how to check availability, create bookings and add requirements.
  • To allocate all internal booking requests including video conferencing – bearing in mind the need to balance availability for internal and external needs
  • To liaise with internal clients to plan events as required, guiding on room set ups, audio visual equipment required, video and tele conferencing needs and catering.  On occasion to advise on additional event services such as flowers and entertainment
  • On occasion to assist with planning for events from associate companies or tenants within the BMA and assisting with catering orders working with our contract caterer.
  • Liaison with service departments to ensure correct preparation and smooth running of these events on a daily basis

Events Administration

  • Run and update numerous reports on a daily, weekly or monthly basis including sales and marketing statistics, financial room recharges, website statistics, room hire yield, operational reports,  finance reports and ad hoc reports on request
  • Administrative tasks to assist the department as required, e.g.: preparing mail outs
  • Day to day administration of the VMS
  • To upload data into our feedback system to send surveys to all external clients
  • Gaining feedback from large internal events
  • To analyse customer feedback reports and prepare supporting notes to take to the operational meetings
  • To coordinate office supplies for example stationery, toiletries and marketing collateral
  • To conduct weekly walkrounds of the venue to ensure good presentation at all times of all meeting and event spaces, and communal areas
  • Assisting with the marketing, content and other tasks as allocated by manager or marketing manager.
